Create an Invoice
Generate invoices with line items and payment tracking.
Invoices can also be generated automatically from a proposal when this option is enabled in the proposal template settings. Line items carry over automatically.
Creating an invoice
- Open an item's detail view
- Go to the Payments tab
- Click "Create Invoice" and configure:
| Title | Name of the invoice |
| Currency | Currency used for the invoice |
| Due Date (optional) | When payment is due |
| Template (optional) | Select a template to automatically fill content |
| Line items (optional) | Add products or services from your catalog with description, quantity, and price. Each line can carry its own discount and one or more named taxes |
| Discount and taxes | If the template is set up for a document-wide discount or tax, enter it once for the whole invoice. If the template uses per-item discounts or taxes, set them on each line instead |
| Client Notes (optional) | Notes visible to the recipient |
| Terms & Conditions (optional) | Payment terms, conditions, or other details |
The totals panel shows the subtotal, any discounts, each tax broken out by name, and the final total before you save. See Invoices for more on how discounts and taxes are applied.
Sending the invoice
| Send by email | The contact receives a link to view and pay |
| Copy link | Share the public invoice URL directly |
Recording payments
When you receive a payment:
- Open the invoice
- Click "Record Payment"
- Enter the amount, date, and reference number
- Save
Payments must be in the same currency as the invoice. The amount is checked against the remaining balance so the invoice cannot be over-paid, even if two payments are recorded at the same moment.
The invoice status updates automatically:
| Unpaid | No payments recorded |
| Partially Paid | Some amount received |
| Paid | Full amount received |
Managing invoices
Invoices are managed from the item detail view under the Payments tab. Invoice templates can be configured in Settings → Invoices.
The public invoice page allows recipients to view the full invoice without a Slate account.
Invoices are retained for 10 years for tax and legal compliance.
